Spa Operations Manager

North Medical Spa is looking for a Spa Operations Manager to support with the growth and success of our spa. The Spa Operations Manager will manage and support the administration and operational functions of the spa including, overseeing all functions of inventory, optimizing spa processes and procedures, and supporting with Human Resources areas of the business. This is an exciting role for a driven and dedicated individual who is highly organized, proactive and enjoys creating a work environment that is effective and efficient. The Spa Operations Manager will work alongside the Client Services Manager to ensure the spa is meeting business results by providing extraordinary customer service to our clients and creating an elevated and efficient working environment for our team.

About the Role:

  • Attend weekly Manager meetings to provide updates in respective areas, collaborate with Management team to proactively set weekly goals and planning
  • Complete accurate month-end inventory
  • Prepare training schedules
  • Analyze conversions reports; collaborate with Client Services Manager to provide recommendations on action items
  • Prepare an informed and thoughtful spa schedule with a focus on business results and budget
  • Manage and maintain all spa products/ inventory to ensure appropriate stock and accurate orders are made when needed (daily, weekly, monthly); all stock items to be in-house and priced accurately
  • Invoice independent contractors; follow-up, as required
  • Manage “AlumierMD” portal, including entering client data, ensure orders are fulfilled and received; liaise as required
  • Receive and execute all online orders through accurate and timely shipping while ensuring exceptional customer services
  • Develop, train, and implement optimized spa processes to support with consistency, new hire training, and accountability
  • Partner with HR to develop and implement spa policies and procedures that support an engaged, driven, and efficient team
  • Lead all new hire onboarding plans, including spa process and procedure training, providing effective and empathetic feedback and check-ins
  • Host regular staff check-ins to connect, exchange 2-way feedback and activate development plans
  • Partner with Leadership team and HR to evaluate, performance manage, and when required, exit staff
  • Additional responsibilities as the role develops

About You:

  • Minimum of 2 years experience in a management role at a spa or similar environment
  • Strong communication skills

  • 5 years plus experience of managing a clinic, spa, or similar facility, preferentially with multiple locations
  • Previous experience in a leadership and/ or management capacity
  • University/ College degree in business, healthcare discipline, HR, or related field
  • Excellent customer service attitude, communication, and collaboration skills
  • Sales and/ or Retail experience
  • Enthusiastic, positive, adaptive, team player, with attention to detail and accuracy who thrives in a fast-paced, demanding work environment
  • Proficiency in MS office tools and use of spa or medical record system
